Mineral Land Services Administrator

First International Bank and Trust is a full-service, family-owned, independent community banking serving communities across North Dakota, South Dakota, Minnesota, and Arizona. Our Mineral and Land Services team is looking for the right person to support the team by providing customer service, completing administrative tasks, and keeping track of team deadlines.
In-Office Position
Key Responsibilities:
- Responsible for ensuring a consistent and high-quality customer experience for all MLS customers.
- Implement, advance, and ensure an effective system to provide proactive, high-quality customer service, administration and onboarding of accounts.
- Assist Advisors with administering new and existing portfolios. Serve as point of contact for current and prospective clients, as directed. Responsible for maintaining files, software and accounts in an organized, complete and current manner.
- Research, interpret, evaluate, and verify simple to complex documents, including, but not limited to, assignments, easements, leases, title reports, title requirements, division orders, revenue statements, joint interest billing statements, farm agreements, trust documents and other non-oil and gas related documents as needed.
- Monitor rents, payments, and other income sources, including taxes and other expenses for accounts. Collect and consolidate 1099s and other tax documents. Ensure proper and timely correspondence to customer’s tax accountants.
- Perform clerical duties, including but not limited to, data entry, filing, photocopying, and collating.
- Facilitate and organize MLS marketing events, e.g., communication with venues, ordering of marketing materials, etc.
- Responsible for supporting MLS social media and marketing initiatives.
Qualifications:
- Bachelor degree in business, accounting, finance or other related field preferred.
- Recent experience working in a customer service or administrative support environment required.
- Experience in the fields of Trust, Oil and Gas, Financial and/or Banking experience preferred.
- Accounting experience working in QuickBooks, BankTel, or Cheetah preferred.
